We are looking for an Office Manager to ensure smooth day-to-day operations of our office and maintaining accurate financial records. You will be responsible for a variety of administrative and financial tasks, supporting our team and leadership in their efforts to drive the company’s success.

Key Responsibilities:

Office Management:

  • Administrative Support: Maintain office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
  • Inventory/Warehouse Management: Oversee the general maintenance of product inventory in the warehouse, including (1) procurement and submitting purchase orders for products, (2) maintaining production schedule, (3) tracking purchase orders and ensuring payments for the inventory received are made, and (4) maintaining records of all product inventory documents.
  • Personnel Maintenance: Assist with HR-related tasks, such as onboarding new employees and maintaining employee files/records.
  • Facilities Management: Oversee the general maintenance of the warehouse and virtual office, including liaising with external service providers when necessary.
  • Vendor Management: Manage relationships with vendors, contractors, and service providers, negotiating contracts and ensuring timely payments.

Bookkeeping:

  • Accounting Operations: Responsible for day-to-day accounting operations, handling daily financial transactions, including accounts payable and receivable, invoicing, bill payments via ACH, credit card via online banking, and payroll.
  • Financial Records: Maintain accurate and up-to-date financial records, including accounts payable, inventory, sales taxes, accounts receivable, and general ledger entries.
  • Bank Reconciliation: Reconcile monthly bank statements and monitor cash flow.
  • Expense Management: Review and process employee expense reports, ensuring adherence to company policies.
  • Tax Compliance: Assist in the preparation of tax documents and liaise with external accountants or tax consultants as needed.

Qualifications:

  • Proven experience in office management and bookkeeping, ideally in a small business setting.
  • Proficiency in accounting software (e.g., QuickBooks) and MS Office Suite (Word, Excel, Outlook).
  • Strong attention to detail and a high level of accuracy in financial record-keeping.
  • Excellent organizational and multitasking abilities.
  • Strong communication skills and the ability to work collaboratively with a small team.
  • Knowledge of relevant tax regulations and reporting requirements.
  • Discretion and the ability to handle sensitive financial information with confidentiality.
